As we continue to grow, we are looking for a dedicated Office Administrator to streamline our administrative and operational processes.

Position Overview: The Office Administrator at CLT Improvements will play a crucial role in the seamless execution of our administrative tasks, ensuring our projects are delivered efficiently and effectively. This role involves a wide range of responsibilities from managing prospect communications to overseeing job completion and customer satisfaction.

Key Responsibilities:

    • Prospect Letters Management: Handle the creation and mailing of personalized prospect letters, including editing, printing, and tracking. Utilize the Polaris system for address verification and manage correspondence in our CRM.
    • Presentation Folders Preparation: Assemble informative presentation folders for clients, ensuring all relevant documents and marketing materials are included and presented professionally.
    • Office Supplies and Snacks Management: Oversee the procurement and management of office supplies and snacks, maintaining petty cash records and ensuring budget adherence.
    • Customer Correspondence: Send out thank you cards and manage follow-ups, including logging information in our database and maintaining high levels of customer engagement.
    • Insurance and Work Order Processing: Facilitate the request for insurance certificates and manage the creation and dispatch of work orders to customers, including payment processing and scheduling.
    • Job Schedule Coordination: Coordinate job schedules, check product and crew availability, and communicate effectively with both crew members and customers to ensure smooth project execution.
    • Mail and Email Management: Handle daily mail and email, process payments, manage vendor invoices, and maintain orderly records.
    • Database and Reporting: Keep the Method database updated with new leads, customer transactions, and project statuses. Provide weekly reports to senior management on new contacts and invoiced jobs.

Qualifications:

      • Proven experience in administrative roles, preferably within a home improvement or construction setting.
      • Strong organizational skills and the ability to manage multiple tasks efficiently.
      • Excellent communication skills, both written and verbal.
      • Familiarity with CRM systems, particularly Method, and proficiency in Microsoft Office and QuickBooks.
      • A proactive approach to problem-solving and the ability to work independently.
      • Attention to detail and a commitment to delivering high-quality work.
